Inherent requirements:
- Matric
- Administrative or Office Management qualification (advantageous)
- Minimum of 2 to 3 years’ administrative experience
- Experience within a healthcare or occupational health environment (preferred)
- Previous experience working on a mining site (advantageous)
- Moderate to intermediate computer literacy (essential)
- Excellent verbal and written communication skills
- Valid driver’s licence and own reliable vehicle

Duties and responsibilities:
- Manage and coordinate all patient bookings (medicals, screenings, follow-ups, and specialist visits)
- Maintain and update appointment schedules for healthcare professionals
- Send confirmations and reminders to employees and relevant departments
- Handle walk-in queries and allocate appointments accordingly
- Provide full administrative support to the Chief Administrator
- Prepare, type, and format reports, correspondence, and documents
- Maintain filing systems (electronic and manual) ensuring easy retrieval
- Capture and update employee medical and screening data accurately
- Assist with compiling monthly, weekly, and daily reports
- Ensure accurate data capture on internal systems and databases
- Maintain confidentiality of all medical and employee records
- Ensure records are stored in compliance with legal and company standards
- Assist with audit preparation (e.g., medical, ISO, and compliance audits)
- Act as the first point of contact for the Occupational Health Centre
- Answer and direct calls, emails, and general enquiries professionally
- Liaise with employees, management, and external service providers
- Provide clear communication regarding processes, bookings, and requirements
- Monitor and manage office and administrative supplies
- Assist with ordering and tracking stock levels (stationery, forms, PPE where required)
- Ensure reception and administrative areas are organised and professional
- Support adherence to Occupational Health, Safety, and Mining regulations
- Assist with documentation required for audits and inspections (e.g., SEDEX, ISO, internal audits)
- Ensure all documentation is up to date and compliant
- Assist with ad hoc administrative tasks as required by the Chief Administrator
- Support clinic staff (nurses, doctors, technicians) with administrative needs
- Always maintain a high level of professionalism and confidentiality
