Inherent requirements:
- Matric
- Event coordination/project administration experience
- Strong administrative experience
- Excel, Word, Outlook (intermediate to advanced skill level)
Duties and responsibilities:
- Coordinate and manage all wellness day administration, including scheduling, event registrations, bookings, client confirmations, follow ups, customer satisfaction calls, and maintaining accurate event summaries
- Liaise with wellness nurses, clients, medical schemes, suppliers, and service providers to ensure the smooth and efficient execution of wellness projects and timely resolution of queries
- Accurately capture, verify, and maintain Health Risk Assessment (HRA), HIV screening, wellness claims, and medical scheme data on relevant systems and platforms, ensuring data integrity and accurate calculations
- Sort, organise, track, and maintain all wellness documentation, registers, and employee records while ensuring confidentiality and compliance with company procedures
- Compile, reconcile, and maintain wellness claims, medical aid payments, accruals, financial records, and management reports in accordance with reporting deadlines and operational requirements
- Prepare client quotations, wellness proposals, and job trackers, and submit relevant documentation for client approval and finance processing
- Compile accurate wellness project reports, including statistical data, graphs, and presentations, for client and management reporting purposes
- Manage wellness stock, equipment, and marketing materials, including allocation, packing, tracking, stock counts, returns, and ensuring timely ordering and calibration of equipment
- Ensure effective administration and control of petty cash in line with company policies and financial procedures
- Assist with wellness income forecasting and perform all additional wellness-related administrative duties as required by management
